Communications will be sent via email from Lori at Storybook Event Design (SED) to the email address you provided on your application form. Please add [email protected] to your contact list.
Booths
WiFi is included with your booth. WiFi password will be shared prior to the event.
Booth displays must be set up 30 minutes before the official open of the event and remain set up until the official close of the event.
There is absolutely no moving out allowed prior to the official end SED events. Failure to comply will result in a fine and/or disqualification from future SED events.
Displays must be free-standing and cannot extend out of booth space into the aisle.
Displays cannot infringe on neighbouring booths. Should obstructions, noise, or visual impairments occur, removal or modification of the offending materials will be requested.
Vendors must ensure that reasonable safety standards are met within their booths. SED will not be held liable for any accidents or injuries to vendors or guests as a result of product, tables, or display.
Vendor insurance is recommended and is the responsibility of the vendor. We recommend PAL Insurance for reasonable rates and application.
Products
Vendors agree to promote only the products described in the registration form.
Only one company may be represented per booth.
Vendors may not promote and/or sell products and services outside of their booth.
Vendors remain solely responsible for all product and property brought to SED events.
FOOD and PERSONAL SERVICES VENDORS – Vendors who are directly handling food, giving out food samples, processing food products at their booths, or providing personal services such as tattooing or piercing will need to fill out the appropriate forms from the Health Authority.
Promotion
Vendors acknowledge and agree to the use of their company information and product images for promotion by SED.
All promotion of SED events by vendors is expected to be shared in a positive and professional manner. Any suggestions, comments, or concerns can be shared with Lori at [email protected].
Cancellation
All cancellations must be in writing and emailed to [email protected].
Cancellations made 60 days prior to the start of the event will be refunded 50% of total booth fees.
Cancellations made less than 60 days prior to the start of the event will not be refunded.
All cancellations, once accepted, are final and SED is under no obligation to rescind cancellations, or carry over deposits or payments to subsequent events.
General Terms
SED reserves the right to define the eligibility of any company, person, product, and/or service in the exhibit area. The vendor shall bear all liability where the venue or other offices determine that their product or service is not permitted by SED.
Aggressive, threatening, or disrespectful behaviour or actions towards guests, other vendors, and employees of SED and the facility will not be tolerated and will result in eviction from SED events with no refund.
The vendor agrees to pay all contracted and requested services to SED and its suppliers and to protect, indemnify, and hold harmless SED, the venue, its employees, and agents from any claims, losses, and damages to persons or property, government fees or fines, expenses and attorneys’ fees arising out of or caused by the vendor, outside contractor installations, removal, maintenance, occupancy or use of the exhibition or venue premises or any part thereof financially or otherwise made by any individual or entity.
Vendors will observe and adhere to all provincial and city bylaws pertaining to, but not limited to, fire, health, safety, and food handling, and accept sole responsibility for any fines, expenses, or loss of revenue due to any violation of these laws, or failure to meet any requirements by such agencies.
Vendors agree to be solely responsible in acquiring all permits, insurance, and licences required for the sale and promotion of their products and services and must have any necessary permits and licences in place for the entire duration of SED events.
SED shall have full power to interpret or amend these terms which will be accepted as final in any dispute with vendors or in any situation not covered by these terms.
SED will not be responsible or liable for damages caused by delay or failure to perform its obligations under the terms of this agreement when the delay or failure is due to strikes, lockouts or labour disputes, acts of God, lawful acts of public authorities, delays or defaults caused by common carriers, riots, fire, flood, explosion, public health emergency, governmental controls or regulations, or causes beyond reasonable control.
SED reserves the right to terminate this contract under any of these terms. Vendors agree to release SED from all claims and causes of action of any nature and kind for such termination. Vendors will not seek lost revenue from SED should unexpected business interruptions and mechanical failures that impact service offerings occur.
Failure to follow these guidelines may result in not being selected for future shows or removal from the current show with no refund.
